Health and Safety Policy for Gardeners Spitalfields
Gardeners Spitalfields is committed to providing gardening and grounds maintenance services in a way that safeguards the health, safety and welfare of our employees, clients, contractors, visitors and members of the public. This Health and Safety Policy explains how we manage risks associated with gardening work, use of equipment, and activity at client premises.
Policy Statement and Objectives
Our objective is to prevent injury, ill health and property damage arising from our operations. We aim to identify and control hazards associated with gardening, landscaping, plant care and waste handling, and to continually improve our health and safety performance.
We will comply with relevant health and safety legislation and good industry practice, and ensure that our approach is proportionate to the risks created by our activities in domestic, communal and commercial outdoor spaces.
Roles and Responsibilities
Overall responsibility for health and safety rests with the management of Gardeners Spitalfields. Management will ensure that appropriate arrangements, resources, supervision and training are provided to maintain safe working practices.
All employees and contractors have a duty to take reasonable care of their own health and safety, and that of others who may be affected by their actions or omissions. They must follow all safety instructions, use equipment correctly, report hazards or incidents promptly, and cooperate fully with health and safety measures.
Clients also have responsibilities, including providing safe access to gardens and communal areas, informing us of site-specific risks, and not asking staff to undertake unsafe tasks or work outside agreed scopes of service.
Risk Assessment and Safe Systems of Work
Gardeners Spitalfields will assess risks associated with its gardening services, including but not limited to use of powered machinery, manual handling, working at height, use of chemicals, slips and trips, noise, vibration and adverse weather conditions.
Where significant risks are identified, we will implement control measures such as safe systems of work, equipment maintenance, personal protective equipment, training and supervision. Risk assessments will be reviewed periodically and after any significant change in work activities or an incident.
Gardening Tools, Machinery and Equipment
All gardening tools and powered equipment will be selected, maintained and used in accordance with manufacturers instructions and relevant safety guidance. Only trained and authorised personnel may operate powered equipment such as mowers, strimmers, hedge trimmers, blowers and similar machinery.
Equipment will be inspected regularly for defects, with unsafe items removed from use until repaired or replaced. Guards, safety features and emergency stop mechanisms must not be removed or bypassed. Fuel, oils and other consumables will be stored and handled safely.
Personal Protective Equipment
Gardeners Spitalfields will provide appropriate personal protective equipment where identified by risk assessment. This may include protective footwear, gloves, eye and face protection, hearing protection, hi-visibility clothing and weather-appropriate workwear.
Employees are responsible for using the protective equipment provided, keeping it in good condition, and reporting any loss or damage so that replacements can be arranged.
Chemicals, Pesticides and Hazardous Substances
Where chemicals, fertilisers, soil improvers or pesticides are used, we will follow safe handling and application procedures based on the product information and applicable regulations. Products will be stored, transported, mixed and applied in a way that minimises risk to people, animals and the environment.
Only competent personnel may use such substances, and suitable protective equipment and signage will be used where required. Clients will be informed of any residual risks that may affect access to treated areas.
Manual Handling and Physical Work
Many gardening tasks involve lifting, carrying, digging, pruning and repetitive movements. We will plan work to reduce manual handling risks, using mechanical aids or team lifting where practicable, and limiting the weight and frequency of loads.
Employees will receive guidance on safe lifting techniques and the importance of pacing work, taking breaks and reporting any discomfort or early symptoms of strain or injury.
Working at Height
Some gardening work, such as hedge cutting and tree pruning, involves working at height. Gardeners Spitalfields will avoid working at height where possible and, where it cannot be avoided, will use suitable access equipment and safe systems of work.
Only trained personnel may use ladders or other access equipment. Improvised or unstable supports are not permitted. The area below work at height will be controlled to protect others from falling tools or debris.
Traffic, Site Access and Public Safety
When working at client locations, we will plan access for vehicles, machinery and staff to minimise risks to the public and property. Tools and materials will be stored safely to avoid obstruction of pathways and entrances.
Where work may affect shared spaces, pavements or communal grounds, we will use appropriate signage or barriers as necessary to warn others of potential hazards.
Incident Reporting and Emergency Procedures
All accidents, near misses, injuries and dangerous occurrences must be reported to management as soon as practicable, so that they can be recorded, investigated and used to improve our controls.
Employees will be briefed on emergency arrangements, including what to do in the event of injury, fire, chemical spill or equipment failure while on site. Basic first aid provisions will be available during work activities, and staff will seek medical assistance when required.
Training, Supervision and Communication
Gardeners Spitalfields will ensure that staff receive appropriate induction and ongoing training relevant to their roles, including safe use of specific equipment, manual handling, hazard awareness and emergency procedures. Less experienced staff will be supervised until they are assessed as competent to work independently.
We will communicate this Health and Safety Policy to all employees and, where relevant, to contractors and clients. Staff are encouraged to raise health and safety concerns or suggestions for improvement without fear of reprisal.
Monitoring, Review and Continuous Improvement
We will monitor our health and safety performance through inspections, incident reports, staff feedback and periodic review of risk assessments. Where necessary, we will update our procedures and controls to reflect changes in legislation, guidance, work methods or equipment.
